| 10 secondi |
Ogni modifica registra data, ora e utente.
This program is not for putting the inventory back together before the review. It is for never having to do that again.
The inventory is not a document you prepare: it is the reflection of what we physically hold, at any moment.
For three months notes, messages and memories pile up. The review comes round, and somebody spends two days reconstructing what came in and what went out, chasing whoever was there. The file goes off, and the next day it is already out of date.
Every physical movement is recorded as it happens, by whoever performs it, in a handful of seconds. At review time there is nothing to prepare: you press Export xls and send it.
None of these takes more than half a minute. They are meant to be done with the device still in your hand.
| What actually happens | What you do in the program | How long |
|---|---|---|
| A new laptop or tablet arrives | Add › scan asset tag and serial, type the model | 20 seconds |
| An iPhone is handed to us | Add › Iphone › scan the IMEI, type model and who returned it | 20 seconds |
| You lend a kiosk laptop to a colleague | Lend on the device's row, type the name | 10 seconds |
| The colleague brings it back | Register return on the same row | 5 seconds |
| You move a device to another room | tick it and use Move to room... | 10 seconds |
| A device breaks down | double-click the Status cell › Faulty - awaiting technician | 5 seconds |
| An iPhone leaves for the phone service | Confirm shipment on its row | 10 seconds |
| You want to note something down | double-click the Notes cell and write | 10 seconds |
All of them are done from the list, without opening windows: notes and status change with a double-click, loans and shipments with the button on the row.
Whoever has just handed over a laptop knows the person's name, the time and the serial number. In two days they will remember "a Lenovo, to somebody on the second floor". In two months, nothing.
The program is built for several people to keep it open together: every save is protected and the list refreshes by itself. There is no reason to wait for somebody to be free.
Every change records date, time and user. Not to keep an eye on people: to be able to reconstruct a movement when the numbers do not add up, without having to ask around.
One unrecorded device is enough to make the review numbers wrong, and finding it means checking everything again. The effort one person saves, ten people pay for.
If the three rules were followed, there is nothing to prepare.
Time required: one minute, from the program to the outbox. Not two days.
For starting, not for maintaining.
| Situation | The right tool |
|---|---|
| First load: the inventory already exists in an Excel sheet | import |
| A delivery of twenty devices arrives, already listed by the supplier | import into a single room |
| Bulk correction: one field wrong on many rows | export, fix, import back |
| A device comes in, goes out, breaks, is lent | the program, on the spot |
If you find yourself using the import to catch up on weeks of movements, the inventory has stopped being current: it has gone back to being a document to reconstruct.
