| Percorso | Che cos'e' |
|---|---|
| \\server\Condivisa\Inventario\Produzione\Inventario.xlsx | L'inventario. E' questo il file che conta. Si apre anche in Excel. |
| Elimina + | Eliminazione in blocco.
| Sposta in stanza…
| Impostazioni | Stanze, tipi, prestiti, lingua, il collegamento all'inventario condiviso e i tre comandi qui sotto. |
| Salva copia in locale…
| Reset inventario | Svuota l'inventario.
| Dove sei | Che cosa vedi | Che cosa sparisce |
|---|---|---|
Elimina e Sposta in stanza….
| Operazione | Che cosa dice prima |
|---|---|
| Sposta in stanza…
|---|---|
| In qualsiasi campo di testo schede, ricerca, tendine scrivibili | Ctrl+C copia, Ctrl+V incolla, Ctrl+X taglia, Ctrl+A seleziona tutto. Il tasto destro apre lo stesso menu. |
| Unisci | Aggiunge i nuovi e salta quelli gia' in inventario, senza toccarne la scheda. Non cancella niente. |
| Sostituisci | Svuota prima, poi carica. Salva sempre una copia di sicurezza. Gli iPhone restano. |
| Ripristina su ogni riga | e Ripristina i selezionati in cima per piu' righe insieme, con Ctrl+clic e Maiusc+clic come nell'elenco principale.
Avvia Inventario.bat ›
Mostra altre opzioni › Invia a ›
What every button does, where the files are, how to put the inventory beyond harm, and how to go back when something goes wrong.
Three things to keep in mind; everything else follows from them.
The file lives on the network folder. Every technician opens that one: there are no personal copies that would already differ after half a day.
Every device in or out is recorded when it happens, in ten seconds. Movements are not piled up to be reconstructed three months later.
The inventory is an ordinary .xlsx: it opens without the program, and
no data is held prisoner by a format of ours.
Two places, and they never mix: the program on the workstation, the data on the network folder.
| Path | What it is |
|---|---|
| C:\Inventario\Inventario.py | The program that starts. |
| C:\Inventario\inventario\ | The rest of the program, readable: they are text files. |
| C:\Inventario\python\ | The official python.org Python that runs it. Do not move, do not rename. |
| C:\Inventario\inventario_percorso.json | Says which inventory to open, and the chosen language. The one file not to lose when updating. |
| C:\Inventario\Collaudo\ | Two Excel test sheets and the instructions to try importing without risking anything. |
| C:\Inventario\Diagnostica.txt | Appears only when the diagnostic is run. |
| Path | What it is |
|---|---|
| \\server\Shared\Inventory\Produzione\Inventario.xlsx | The inventory. This is the file that matters. It opens in Excel too. |
| …\Produzione\inventario_impostazioni.json | Rooms, device types, loan rooms, iPhone room, statuses. The same for everybody. |
| …\Produzione\Backup\ | The copies the program saves by itself before every operation that deletes or replaces. |
| …\.Inventario.xlsx.lock | Appears for a fraction of a second during a save, then goes. If it stays, a save was interrupted. |
Only two screens, one click apart.
One card per room with the device count and the split by type. After the rooms comes the Iphone container, which is not a room but gathers every phone. Below the cards, the complete inventory.
Opens by clicking a card. Shows only that room's devices, and adds the two buttons to import and export just that room.
The checkbox on the left. A click picks one row, Ctrl+click adds others however far apart, Shift+click takes the range. See Selecting several devices.
Above the list: room, type, and a search box that looks inside every field — asset tag, serial, notes and the name of whoever has it on loan.
The colour says which family a command belongs to, before you even read it.
| Button | What it does |
|---|---|
| ‹ Home | Back to the first screen from any room. |
| Add | Asks first which type of device, then whether to enter it by hand or with the barcode reader. |
| Edit | Opens the selected device to change its fields. |
| Delete | Removes every selected device, after a summary listing them one by one and a backup copy. iPhones have extra protection: see iPhones. |
| Delete from Excel | In the tools row below the complete inventory title on the home screen. Like Delete +, but the list is loaded from a file instead of pasted: at most 300 devices at a time. See Deleting from an Excel file. |
| Delete + | Bulk deletion. You paste the codes from Excel, one per line; the program says which exist, which room they will disappear from, and what it skips and why. To go ahead you type ACCETTO. A backup copy is saved first anyway. |
| Move to room… | Changes the room of every selected device, after a summary saying where they come from and how the rooms end up. iPhones do not move. |
| Import xls… | Loads devices from an Excel sheet. It asks first what to import and how. See Importing. |
| Export xls… | Produces an Excel file of the inventory. It asks first for scope and shape. See Exporting. |
| Sends the list you are looking at to the printer, laid out. It can do one page per room. | |
| Refresh | Rereads the inventory from the network at once. The list refreshes by itself every fifteen seconds anyway. |
| Settings | Rooms, types, loans, language, the link to the shared inventory and the three commands below. |
They rewrite everyone's inventory and are rarely used: in the toolbar they stole room from the everyday commands, to the point of pushing them off the screen.
| Save a local copy… | The backup you decide on: a zip with the inventory, the settings and the recently deleted. See Keeping the data safe. |
| Restore from a copy… | Takes the inventory back to one of the automatic copies on the network, chosen from the list. See Going back. |
| Restore from a local file… | Starts again from a copy saved off the network: devices and settings come back, rooms included. It is the way out if the network folder is gone. |
| Reset inventory | Empties the inventory. It asks you to type ELIMINA TUTTO and saves a copy first. iPhones are never touched. |
| Import Asset Function from an Excel sheet… | Reads the Asset Tag and the function from a sheet - the column is found by name, or as the one holding only Standard and PC Refresh - and writes it on the devices already in the inventory without moving them or touching anything else. The missing ones are added: if the sheet does not say the room, the program says they are new and asks where. You see everything first, and a copy is saved. |
If the window is narrow, the toolbar wraps onto two rows: no button is ever left out. Widen it and it goes back to a single row.
| Button | What it does |
|---|---|
| Import this room's data | Loads only this room's section from the sheet and discards the rest. The sheet must carry the separator row with the room name: if it is missing, nothing is imported and you are told. |
| Export this room to xls | Produces a file with this room's devices only, with the room name inside the file. |
| Button | Where it appears |
|---|---|
| Lend / Return | The Loan column, only in the room chosen in Settings (usually the Digital Kiosk). |
| Confirm shipment | The Shipment column, only in the Iphone container. |
Each view shows only the columns that can hold a value there. A column empty by construction carries no information: it takes space away from what you actually have to read.
The complete inventory on the home screen is an overview: it says what a device is, where it is, how it is and since when, in a row you can read without scrolling sideways. The finer questions - the model and the serial number, who has it on loan and since when, who returned a phone, when it was shipped, what the IMEI is - are asked inside the room they belong to, the Digital Kiosk and the Iphone container. In the overview the status sums them up: On loan, Shipped to the phone service.
| Where you are | What you see | What goes away |
|---|---|---|
| Home | Asset tag, type, Asset Function, room, notes, status, last change, changed by. Eight columns to say what a device is, what it is for, where it is, how it is and since when. | Everything else: Model/Description and serial number, which you read in front of the device; IMEI, who has it on loan and since when, who returned it, when it was shipped. |
| Site Services BAU | IMEI, Returned by and Shipped on, because the phones live there. | Room, On loan to, Lent on. |
| Digital Kiosk | On loan to, Lent on, and the Loan column with its buttons. | Room, IMEI, Returned by, Shipped on. |
| Magazzino Disaster Recovery | Only the essentials: asset tag, type, Asset Function, notes, status, model, serial. | Room, everything about loans, everything about iPhones. |
| Iphone container | Model/Description, IMEI, Returned by, status, Shipped on, notes, plus the Shipment column. | Asset tag and serial (an iPhone has neither), loans, room, type and Asset Function. |
The Room column always disappears inside a room: it would be the same on every row, and the name is already written above the list. The same goes for type inside the Iphone container.
It says what the device is for, with two values only: Standard and PC Refresh. It sits just to the right of Type and before Room, in the list as in the exported files, and has the same green as the type: it is still "what it is".
| What | How |
|---|---|
| It is picked | from the dropdown in the device record, or with a double-click on the cell in the list. On a device on loan too: it is not a move. |
| A new device | starts from Standard. One that was there before this column stays empty until someone picks it: it is not made up. |
| Exports and printing | carry it always, even when it is empty for some devices. |
| Imports | none requires it. A sheet without the column imports as before; if it is there, the value is recognised even written badly, and one that is neither Standard nor PC Refresh stays empty and the summary says so. |
| iPhones | do not have it: in their container the column does not show. |
A coloured vertical line divides one column from the next, and the same tint appears as a small bar in the heading: it is there so you do not lose the column while scrolling a wide list. The colour groups by meaning - blue for identifiers, green for what the device is, purple for where it is, red for how it is, amber for the loan.
The text stays black on white, the most legible combination there is: the colour lives in the dividing lines and the headings, not inside the cells.
Every column is as wide as it takes to show what it holds in full: no truncated text, no columns to widen by hand. An empty column stays at least as wide as its own name, or you could not tell what it would contain. If the list grows wider than the window you scroll with the bar at the bottom, or with Shift + wheel.
It applies outside the program too: in exported files, in printing and in the inventory file itself, the Excel columns size themselves to their content, so there is nothing to widen by hand after opening them.
An exported file says what we have, where it is and what there is to know. Four columns: asset tag, type, room, notes - the notes travel with the device, because they are what a row has that is particular to it.
Status, model, serial number, loans, IMEI, shipments and last change stay out: they serve whoever is working in front of the list, inside the room they belong to, not whoever receives the file. Printing does carry them, because it is made for whoever is working.
An identifier is never repeated. If the asset tag - or the IMEI - is already in the inventory, the program inserts nothing and says where the device holding it is, with its model and room: you see at once whether it is a typo or a device already recorded.
A device just entered appears at the top of the list: it is sorted by last change, so you can see it arrived.
The things that change often need nothing opened.
Double-click the Status cell: the dropdown appears with Available, Awaiting collection, Faulty - awaiting technician, To be rebuilt, To be checked.
Double-click the Notes cell and type. Enter to confirm, Esc to drop it - staying in the room. The open field does not close under your fingers: opening the dropdown, the right-click menu or another window does not touch it, and if the list reloads because another technician saved, what you were typing is saved first, not lost.
Double-click the Type cell: the dropdown offers the configured types, but you can also type or paste a different value - the dropdown offers, it does not force. A type written by hand then appears among the filters too. An iPhone does not turn into a laptop, or the other way round: the identifier would be lost.
The same: double-click and type. The column takes a free description too, for when the exact model is not enough to recognise the thing.
With Move to room…, or from the device's own card.
A click picks one row. Ctrl+click adds others, however far apart; Shift+click takes the whole range up to that row. The keys must be held down: as soon as you click without them the selection starts again from a single row, as on Windows.
| How you can tell | What it means |
|---|---|
| Filled circle in the first column | the row is picked. It is the authoritative sign, independent of colour. |
| Amber background | the one tint no category uses: a selected row is never mistaken for a tablet or an iPhone. The text colour stays the category's, so the red of a loan survives the selection. |
| The count next to the title | how many rows are picked right now. |
The selection holds only the visible rows: filtering or searching thins it out, and clearing the filter does not bring it back. That is deliberate: it stops you deleting devices you are not looking at.
Delete and Move to room…. Edit stays one device at a time, because a record opens on its own; Delete + is a different thing, for pasting codes taken from Excel.
Neither operation starts without showing what it will do.
| Operation | What it says first |
|---|---|
| Delete | the devices that will disappear, grouped by room, with the model; those skipped because they cannot be deleted - on loan, an iPhone not yet shipped back, one in retention - with the reason; how many devices will be left. A backup copy is saved first, and at the end you read where it is. |
| Move to room… | the devices split by room of origin, how many stay put and why - iPhones or open loans - and how the rooms stand before and after. If they are already all in the chosen room it says so at once. |
It works everywhere, in every field, with the keyboard or the right mouse button. You need it every day: the codes come from an Excel sheet and go back to one.
| Where | What you can do |
|---|---|
| In any text field records, search, editable dropdowns | Ctrl+C copies, Ctrl+V pastes, Ctrl+X cuts, Ctrl+A selects all. The right button opens the same menu. |
| In the cells edited in place notes, model/description, type | double-click to open the field, then paste as in any other program. Enter saves, Esc cancels. |
| In read-only fields status, summaries, file paths | you cannot write there, but copying is always allowed: it is the quickest way to grab the path of a file you have just exported. |
| From the device list | Ctrl+C copies the selected row, in columns: it pastes into Excel as it is. Right-clicking the row also offers Copy the identifier, which takes the asset tag alone. |
| In Delete + | it is made for pasting: you copy a column of asset tags from Excel and paste it into the box, one per line. |
They exist only in the loan room, the Digital Kiosk by default - chosen in Settings.
In other rooms the Loan column does not appear at all. iPhones are never lent. Notes, model and type can be corrected while the device is on loan.
They follow their own rules, because their life cycle is different.
IMEI and Returned by instead of asset tag and serial number. They have no asset tag anywhere in the program.
They never come in through an import and never go out in an export: they are entered one at a time.
They always live in Site Services BAU and do not move. On the card the field is already filled in and locked.
Confirm shipment records the day and time of sending to the phone service. The status becomes Shipped to the phone service and the row turns purple.
After shipping they stay consultable for three months. Before that the program refuses to delete them and says from when it will be possible.
No destructive operation touches them: neither a full reset nor a replacing import.
For loading in bulk what is already recorded elsewhere. The sheet format is explained in detail in How to prepare the Excel file.
| Choice | Meaning |
|---|---|
| The whole inventory | Loads every row of the sheet, assigning rooms from the separator rows. |
| One room only | Loads only that room's section and discards the rest. The separator row is required. |
| Merge | Adds the new ones and skips those already in the inventory, without touching their record. Nothing is deleted. |
| Replace | Empties first, then loads. It always saves a backup copy. iPhones stay. |
A row carrying only a room name splits the sheet: everything that follows goes into that room, until the next separator. The short forms BAU, KIOSK and DISASTER work too.
A device with no room does not get into the inventory: it would show up in no room, come out of no per-room export, and to find it again you would have to know already that it is there. So, if the sheet does not declare the rooms - no separators, or rows above the first one - the program asks before importing, and no row is written until it has an answer.
It is not enough for a room to be written: it must be one of the inventory's rooms. A name that does not exist - Cantina - is not a room, and counts as having none: it gets asked as well. What is forgiven is the way it is written - the extra space and the wrong case, digital kiosk is Digital Kiosk - and the device goes into the inventory under the room's official name.
| Choice | What it does |
|---|---|
| All in the same room | you pick the room from the dropdown and every row with no room goes there. The ones that already have a room - from a separator or from the Room column - are left alone. |
| One by one | a window opens for each device, with asset tag, type, model, serial and notes, and you choose the room for each. Do not import it leaves it out; Cancel everything stops the whole import, and nothing is written. |
Importing into one room only never shows this question: that choice already covers every row.
Nothing is written until you confirm, and before confirming you see:
| What it says | What for |
|---|---|
| Where they go, room by room | how many devices are new and how many already in the inventory - those get skipped - in each: you see at once if a room is about to fill with things that do not belong to it. |
| How many rows are skipped, and why | no identifier, iPhones (which are entered by hand only), rows of other rooms, columns not recognised. |
| How many devices there are now and how many after | that is the number that tells you whether what you think is about to happen. With Replace it also says how many disappear first. |
| The rooms recognised in the sheet | if it finds none it tells you right there, before touching anything, and asks where the devices left without one should go. |
Once it is done the final summary repeats everything: what was done and where, how many rows were not loaded and why, one by one, how the inventory stands now room by room, and where the backup copy is.
A sheet to import is not an inventory and must never be opened as one: it is loaded from here.
The program does not create them, and an identifier already in the inventory never gets in a second time: adding a device refuses, saying where the existing one is; an import skips the row and says which room the already registered device is in, without rewriting its record. If a sheet contains the same identifier twice the last row wins - that is a rule of the sheet - and the summary says so.
The only field that can never repeat is the asset tag - the IMEI for iPhones. Everything else in the record - type, model, serial, room, notes - may vary freely, and is not even looked at when deciding whether a device is already there: two records different in every field with the same asset tag are the same device, two records identical in everything with different asset tags are two devices.
The Delete from Excel button, in the tools row below the complete inventory title on the home screen, deletes in bulk the devices listed in a file. It is the same thing as Delete +, for whoever already has the list in a sheet rather than on the clipboard: someone decommissioning eighty laptops has a file, not a column to paste.
| What it does | How |
|---|---|
| Reads any shape | an export from the program - it recognises the Asset Tag and IMEI columns and reads only those - or a single column of codes saved without headers. There is no format to comply with. |
| At most 300 at a time | not a technical limit: it is the point beyond which nobody reads the list of what is about to disappear any more, and a confirmation nobody reads is not a confirmation. If the file holds more, the program says so and does nothing. |
| Shows the summary | which rooms the devices disappear from, one by one, with model and any loan; and separately the ones skipped - not in the inventory, or impossible to delete - with the reason for each. |
| Asks for the word | to go on you type ACCETTO. Until it is typed the red button stays off. |
| They land in the recently deleted | and before anything is touched a backup copy of the data file is saved. If the bin cannot hold them all, the program asks what to do: see Recently deleted. |
The RECENTLY DELETED (n) button - black, in capitals, carrying how many records it holds - next to the complete inventory title on the home screen, opens the bin: the devices deleted most recently, from which you fish back the one removed by mistake. What sits in there is no longer inventory: it appears in no export, printout or search.
| What it does | How |
|---|---|
| Keeps the last 500, for 30 days | it is not a historical archive: it is the safety net for yesterday's mistake. |
| If they do not all fit, it asks | what leaves the bin is lost for good, and that is not decided on behalf of whoever is deleting. The window says how many are in excess and offers two ways: put them in the bin in place of the oldest - and the oldest leave for good - or delete the ones in excess for good, which never go through the bin and cannot be restored. The final summary lists them. |
| Shows asset tag and type | ten per page. The rest of the record is not lost: it comes back whole with the restore. |
| The search at the top | looks at the whole bin, not the page you are on; the results are paginated in turn. |
| Restore on every row | and Restore the selected ones at the top for several rows at once, with Ctrl+click and Shift+click as in the main list. Restore everything (n) puts the whole bin back - or only the results, if a search is active. |
| Asks for confirmation first | a single popup, with the summary above - which devices go back and into which room - and the confirmation below. The outcome is then read under the list. |
| Goes back where it was | into the room it had when it was deleted, with serial number, notes, status, loan and shipment. If that room has been renamed, the entry follows it and nothing is asked; if it has been removed, the program asks where to put it - putting it back where it was would make it vanish from every card. |
| A restore from a copy takes it out | if the copy puts back into the inventory a device that is in the bin, its entry has no reason to exist any more: it is removed, and the final message lists it. It cannot be in both places. |
| Removes what has already returned | if that asset tag is back in the inventory by another route, the bin entry is no longer needed: it is removed, and the program says which room the device is in now. It is not an error. |
| Choice | Result |
|---|---|
| Everything / one room | What ends up in the file. |
| Single list | One file, one sheet, with the Room column. |
| One sheet per room | A single file, with one Excel sheet per room. |
| One file per room | Separate files, each with the room name inside. |
At the end of every export the program asks whether to open the file, send it by e-mail — it opens Outlook with the file already attached — or just close. Working in Italian you can also ask for the file to come out in English.
Lays out what you are looking at and sends it to the printer, optionally with a separate page for each room.
Five different protections, covering different failures.
Every save takes an exclusive lock, rereads the file, applies the change and rewrites atomically. Two technicians saving at the same instant do not overwrite each other.
Before every operation that deletes or replaces, the program saves a copy by itself into Produzione\Backup\, with the date in the name, and next to it the bin of that moment. You do not have to remember. Ten are kept: when a new one arrives, the oldest is deleted, its twin included.
Save a local copy… puts a zip with the inventory, the settings and the recently deleted wherever you want: your PC, a USB stick, off the network. From there you start again with Restore from a local file…, even if the network folder is gone.
Every twenty devices added, changed or deleted, the program asks whether you want to save a local copy. You can say no: it comes back after another twenty.
You go back from the interface, without hunting for files by hand. See below.
This is the protection against what the automatic copies cannot cover: the network folder disappearing, or somebody deleting inside it. The automatic copies live on the share: if the share goes, they go with it.
| If… | Do this |
|---|---|
| You have just botched an import or a reset | Settings › Restore from a copy…: the first in the list is the latest saved copy, with its date and how many devices it holds. |
| You need an older copy | Settings › Restore from a copy…: it lists them all, with date and device count, and you choose. |
| The network folder is gone or the data was deleted | Settings › Restore from a local file…: pick the zip you saved and devices and rooms come back. You read the summary first, which says how every room would end up. |
| You want to empty everything and reload from scratch | Reset inventory, typing ELIMINA TUTTO. A copy is saved before proceeding anyway. |
| Item | What it is for |
|---|---|
| Rooms | One per line. Renaming one also moves the devices that were in it, and updates the loan room and the iPhone room if it was one of those. Reordering the lines or adding one moves nothing; removing one without a role sends its devices to Recently deleted, but if it has a role - iPhone or loans - the program asks first where to move them. See Removing a room that has a role. |
| Device types | Laptop, Tablet, Iphone. Renaming one updates the devices of that type, touching nothing else on the record. Iphone cannot be renamed, either way round: it is the word the program recognises phones by. Removing Iphone removes the whole phone side of the program. |
| Loan room | A dropdown, under the iPhone one: where the Loan column appears. Usually Digital Kiosk. With (none) loans are switched off. |
| Language | Italian or English. There is also the dropdown at the top right of the header. |
| Link shared inventory… | Picks the network folder to work on, by browsing. The program has to be reopened afterwards. |
| Restore from a copy… | The list of every backup copy available, the ones on the network. |
| Restore from a local file… | Starts again from a copy you saved yourself, off the network: the devices and the settings come back. It is the way out if the network folder is no longer there. |
Rooms, types, statuses and the loan room are shared: they live on the network and apply to everybody. The language does not: it is your own preference and stays on your PC.
The iPhone room and the loan room cannot simply disappear: the phones have to live somewhere, and so do the open loans. Removing one of these from the list, the program asks which room to move what was inside to, and takes everything there - the iPhones shipped or not, the other devices, and the ones on loan too.
The dropdown in the header translates everything: buttons, windows, messages, columns and statuses. The data stays as it was written — room names do not change — because it is the same for everybody.
Working in Italian you can ask for a single exported file to come out in English: the option appears in the export window.
The .bat uses Crea collegamento sul desktop.ps1:
keep it beside Avvia Inventario.bat. Windows supplies the desktop
location, including OneDrive. The window shows the reason if anything fails;
the extra shortcut copy in the program folder is optional.
On some workstations automatic creation is blocked by security policy. Creating the shortcut by hand never fails:
Avvia Inventario.bat › Show more options
› Send to › Desktop (create shortcut);Inventario dispositivi.lnk copy, if present in the folder: it can be handed
to another user without running anything. The shortcut the program creates points at
Avvia Inventario.bat and not straight at pythonw.exe,
precisely because a shortcut to an executable with arguments is refused on some
workstations.
Double-click Diagnostica.bat in the program folder. It writes Diagnostica.txt beside it and opens it. It changes nothing: it only reads.
Inside is the version in use and where it starts from, which inventory it opens and whether it can write there, the rooms it knows, what it actually reads from an Excel file, the size of the window and of the table, and where Windows keeps the desktop. It is paths and room names, nothing confidential: send it to whoever helps you.
The program keeps in memory the last three hundred events that matter - which field receives the keys, where focus goes, which windows open, when the list is rebuilt. It writes them to Tastiera.log, next to the program, when you press F12 or on its own when it sees the symptom: a key pressed while no field has the focus. Of the keys it keeps the kind, never the character. If the keyboard stops responding: F12, and send the file - it says who had the focus and what happened in the seconds before.
